How to Hold an Effective Nonprofit Board Meeting

A meeting of the board of directors for a nonprofit should be an engaging and informative meeting. The best way to accomplish this is through clear communication that focuses on the mission and goals of the organization. Meetings are often dominated by organizational updates that are time-consuming or spirited discussions of particular topics from one or two people in the room (we all know the person). The addition of a few extra elements to the meeting could keep it engaging and help board members stay engaged to the goals of your organization. A video showing client reviews can be a good method of reuniting the members of your board with your mission.

Check that the agenda for your board meeting is organized well in advance. If necessary a facilitator at the meeting can be hired to assist in this or the board’s committee should be responsible for the preparation of the agenda and ensuring important documents are prepared and distributed prior to the board meeting. Nothing can sabotage a productive board meeting faster than board members having to read the important documents at the same time they discuss them or worse aren’t having the materials available at all.

Boards should limit their time to less than 25 percent of their time at meetings on updates and “have to’s”. A lot of time is wasted by board members who are lost in the details of committee chair reports, officer reports and other items that are routine. Many of these items can be cut down to 5-10 minutes and can easily be included in the meeting packet prior to the meeting or as part of regular e-mail updates to the board.
